Business Travel (guidelines subject to change)
1. Application Form: completed, dated and signed answer all questions.
2. Photos: two 2”x 2” full face white background (1 glued onto application DO NOT staple photo).
3. Passport: valid with at least two blank visa pages, remove any case or holder.
4. Travel Itinerary (copy): reservation or booking indicating travel movements for entire journey.
5. Employment Letter (original): stating position, purpose of visit and period of leave.
6. Applicant Company Registration (copy): current registration of applicant’s or employer’s company.
7. Invitation Letter (original): stating reason/purpose of visit and entry and exit dates of applicant.
8. Guarantee Letter (original): stating guarantor’s declaration and entry and exit dates of applicant.
9. Schedule/Timetable (original): description of the applicant's activities in Japan from the date of arrival to the date of departure to be provided by the Japanese company.
10. Japanese Company Registration (certified copy green in colour): issued and stamped by the Regional Legal
Affairs Bureau dated within a three month period.
Item (10) is recommended as verification of the Japanese company’s business activities if this document cannot be submitted items (11), (12) and (13) may be submitted in its place however all or any combination of these documents may be requested in lieu of item (10).
11. Company’s Business Activities Summary Form (original).
12. Company’s Information Booklets & Brochures (original).
13. Kaisha-Shikiho publication of company (copy of company’s page).
Applicants invited to Japan by Non-Japanese nationals
Applicants must submit with their application at least 1 of the following items as evidence of their inviter’s/guarantor’s legal residency status in Japan:
Applicants who are Minors
Applicants Residency Status
Overseas Applicants (Including Individuals Residing in Tobago)
To facilitate efficient and smooth interviews overseas applicants must forward copies of all required documents including their passport’s bio-data page for pre-evaluation at least 5 working days before their appointment date to the embassy.
After forwarding documents on the following business day contact the Embassy to confirm its receipt of the documents.

The Embassy of Japan regrettably is unable to take any action over private business matters or disputes by reason of absence of legislative authority over private business issues. In matters concerning private business disputes the embassy advises that a report be made to your local police authority and Interpol police.
